 OFR Ops Intern

 Position Overview:

As an OFR Ops Intern, you will be supporting various operational aspects within the ocean freight logistics and supply chain process. You will work closely with the team to assist in managing and coordinating ocean import shipments, processing billing documents, communicating with customers, and ensuring smooth operational efficiency.

Key Responsibilities:

Import Shipment Coordination:

• Assist in managing and tracking ocean import shipments from origin to destination.
• Communicate with shipping lines and freight forwarders to ensure timely delivery of shipments.
• Monitor the status of shipments and resolve any issues by coordinating with shipping lines and DHL Network offices.

Billing and Documentation:

• Prepare and process billing documents related to ocean freight operations using the CW1 system.
• Ensure the accuracy of freight invoices and promptly resolve discrepancies.

Customer Communication:

• Provide regular updates to customers regarding shipment status and any changes.
• Respond to customer inquiries, offering support and assistance as needed.
• Build and maintain strong relationships with clients through effective and professional communication.

Qualifications:

• Familiarity with logistics and supply chain operations.
• Previous experience in dealing with customers is an added advantage.
• Proficiency in English (both written and spoken) with a professional communication style.
• Familiarity with Microsoft Office, especially Excel.
• Can-do attitude, hardworking, and enthusiastic.
• Strong administrative skills, results-driven, and detail-oriented.
• Ability to handle multiple priorities and adapt to changing demands.
• Capable of working independently and collaboratively in a team environment.

AFR Ops Intern

• You will interface and work with Country Carrier contacts to resolve operational issues.
• You will escalate to Procurement as and when necessary.
• You will accept all orders (from customers or overseas offices) and process them for handover to Operations.
• You will proactively inform customers on shipment status, exceptions, and provide intermediate updates on incident solutions.
• You will take and handle customer inquiries, e.g., Track and Trace.
• You will take and process customer feedback and ask for Customer Service-related feedback (e.g., follow-up on complaint handling).
• You will collaborate with Operations and other departments for smooth handling of shipments and continuous updates.
• You will complete coordination between all applicable parties for all air export/import/courier shipments for our customers; ensure timely bookings with suppliers.
• You will communicate regularly with customers regarding their shipment status as well as maintain continuous communication with overseas to meet delivery commitments; follow up with airlines to monitor and track departure and arrival information and updates.

 نظرة عامة على الوظيفة:

بصفتك متدربًا في عمليات OFR ، ستدعم جوانب تشغيلية مختلفة ضمن عملية لوجستيات الشحن البحري وسلسلة التوريد. ستعمل بشكل وثيق مع الفريق للمساعدة في إدارة وتنسيق شحنات الاستيراد البحري، ومعالجة مستندات الفواتير، والتواصل مع العملاء، وضمان كفاءة التشغيل السلسة.

المسؤوليات الرئيسية:

تنسيق شحنة الاستيراد:

• المساعدة في إدارة وتتبع شحنات الاستيراد عبر المحيطات من المنشأ إلى الوجهة.
• التواصل مع خطوط الشحن وشركات الشحن لضمان تسليم الشحنات في الوقت المناسب.
• مراقبة حالة الشحنات وحل أي مشاكل عن طريق التنسيق مع خطوط الشحن ومكاتب شبكة DHL.

الفواتير والتوثيق:

• إعداد ومعالجة مستندات الفواتير المتعلقة بعمليات الشحن البحري باستخدام نظام CW1.
• ضمان دقة فواتير الشحن وحل التناقضات على الفور.

التواصل مع العملاء:

• توفير تحديثات منتظمة للعملاء فيما يتعلق بحالة الشحنة وأي تغييرات.
• الرد على استفسارات العملاء، وتقديم الدعم والمساعدة حسب الحاجة.
• بناء علاقات قوية مع العملاء والحفاظ عليها من خلال التواصل الفعال والمهني.

المؤهلات:

• - المعرفة بالعمليات اللوجستية وسلسلة التوريد .
• تعتبر الخبرة السابقة في التعامل مع العملاء ميزة إضافية .
• الكفاءة في اللغة الإنجليزية (كتابة وتحدثا) مع أسلوب التواصل المهني.
• -الإلمام ببرامج مايكروسوفت أوفيس وخاصة برنامج Excel .
• القدرة على القيام بذلك ، والعمل الجاد، والحماس.

• ستتواصل وتتعاون مع جهات اتصال شركة النقل في البلد لحل المشكلات التشغيلية.
• سيتم تصعيد الأمر إلى قسم المشتريات عند الضرورة.
