Sales Admin Officer

Responsibilities

• Handles correspondence, forms, quotations and other documents as assigned.
• Invoicing sales deal files
• Activating BMW service packages in BMW S-gate system and updating warranty contracts and uploading contracts in Alliance warranty.
• Follow up with Ministry of Transport for registering cars under Hire.
• Follow up with EM lease registration & Insurance renewal (BMW)
• Handling the renewal and cancellation for EM cars under EM fleet policy (Demo & used cars).
• Handling Direct Diplomatic sales orders for registration & delivery procedures.
• To follow up all sales documentation enquiries & requests of the salesman.
• Preparing Fleet Insurance.
• Preparing the monthly reports for Parts Department and after sales road assist provider.
• Checking and adding the reconditioning costs & service for the internal orders.
• Checking the deals files and ensure all the required documents were submitted.
• Registering new vehicles in online registration system from eGovernment portal.
• Ensure an efficient tracking system of all paperwork.
• Verifying 3rd year warranty documents provided from after sales.

Qualifications

• Proven 2-5 years of experience in a sales administration role, preferably within the automotive industry.
• Strong organisational and time management skills.
• Excellent communication and interpersonal skills.
• Proficiency in Microsoft Office Suite, particularly Excel and Word.
• Ability to work independently and as part of a team.
• High level of accuracy and attention to detail.
• Strong problem-solving skills and ability to handle multiple tasks simultaneously.

المسؤوليات

• يتعامل مع المراسلات والنماذج والاقتباسات والمستندات الأخرى حسب التكليف.
• فوترة ملفات صفقات البيع
• تفعيل باقات خدمات BMW في نظام BMW S-gate وتحديث عقود الضمان وتحميل العقود في ضمان Alliance.
• متابعة وزارة النقل لتسجيل السيارات بالإيجار.
• متابعة تسجيل عقد الإيجار وتجديد التأمين (BMW)
• معالجة تجديد وإلغاء سيارات EM بموجب سياسة أسطول EM (السيارات التجريبية والمستعملة).
• معالجة طلبات المبيعات الدبلوماسية المباشرة لإجراءات التسجيل والتسليم.
• لمتابعة كافة استفسارات و طلبات البائع فيما يتعلق بوثائق المبيعات.
• إعداد تأمين الأسطول.
• إعداد التقارير الشهرية لقسم قطع الغيار ومقدم خدمة المساعدة على الطريق بعد البيع.
• التحقق من وإضافة تكاليف إعادة التأهيل والخدمة للطلبات الداخلية.
• التحقق من ملفات الصفقات والتأكد من تقديم كافة المستندات المطلوبة.
• تسجيل المركبات الجديدة في نظام التسجيل الإلكتروني من خلال بوابة الحكومة الإلكترونية.
• ضمان نظام تتبع فعال لجميع المستندات.
• التحقق من وثائق ضمان السنة الثالثة المقدمة من ما بعد البيع.

المؤهلات

• خبرة مثبتة لمدة تتراوح من 2 إلى 5 سنوات في دور إدارة المبيعات، ويفضل أن يكون ذلك في صناعة السيارات.
• مهارات قوية في التنظيم وإدارة الوقت.
• مهارات ممتازة في التواصل والتعامل مع الآخرين.
• الكفاءة في استخدام مجموعة برامج مايكروسوفت أوفيس، وخاصةً Excel وWord.
• القدرة على العمل بشكل مستقل وكجزء من فريق.
• مستوى عال من الدقة والاهتمام بالتفاصيل.
