Main Responsibilities

• Attend and board vessels as directed by the Manager, following Wilhelmsen Standard of Operation and customer requirements.

• Facilitate inward and outward immigration and customs clearances.

• Collect and process ship documents from terminals during port calls.

• Deliver cash to Masters aboard vessels in port.

• Assist with inward clearance at anchorage alongside Customs Officers.

• Handle email communication (in Arabic) with Port Authorities, Customs, and Immigration for ship-related permissions.

• Prepare Arabic letters and documents for specific requirements.

• Coordinate with government offices and the Chamber of Commerce for approvals and attestations.

• Visit vessels as required to ensure compliance with Standard of Operation and customer requirements, verifying that husbandry, vessel, and cargo needs are met.

• Relay cargo-related requirements to the Manager and stakeholders.

• Arrange sign-on/sign-off procedures, shore passes, and gate passes for crew and guests as instructed.

• Use the Operating System WASP for reporting in line with Standard Operating Procedures.

• Provide detailed reports on ship arrivals, departures, cargo operations, and Statements of Facts (SOF).

• Ensure hired mobile phones for vessels are accounted for and signed by Masters.

• Exchange necessary documentation with Masters during vessel arrival and departure.

• Process Ship Departure Certificates and Cargo Handling Forms before arrival and after departure.

• Adhere to Company Personal Protective Equipment (PPE) standards while working in ports and onboard vessels.

• Uphold Quality, Health, Safety, Security, and Environmental (QHSSE) standards within your responsibilities.

• Ensure safe and efficient transportation of Ships Agency crew and other personnel connected to company activities as needed.

• Report leads, business opportunities, and relevant port updates to the Manager.

• Support Operations with vessel operations, service coordination, and customer communication via email.

Qualifications

• Bahraini National, preferably aged 25-35 years.

• Valid Customs Clearance License.

• Graduate in Maritime and Logistics Studies or similar field.

• 1-2 years experience in Ships Agency or Maritime industry preferred.

• Customer service oriented with strong communication skills.

• Very good command of English (oral and written).

• Good interpersonal skills.

• Proactive, well-organized, and able to work under pressure.

• Detail-oriented.

• Valid Driving License.

المسؤوليات الرئيسية

• الحضور والصعود إلى السفن حسب توجيهات المدير، مع الالتزام بمعايير التشغيل لشركة ويلهيلمسن ومتطلبات العملاء.

• تسهيل إجراءات الهجرة والجمارك الواردة والصادرة.

• جمع ومعالجة مستندات السفن من الموانئ أثناء التوقفات.

• تسليم النقدية إلى قادة السفن أثناء التواجد في الميناء.

• المساعدة في إجراءات التخليص عند المرسى بجانب موظفي الجمارك.

• إجراء المراسلات البريدية الإلكترونية (بالعربية) مع سلطات الموانئ والجمارك والهجرة للحصول على التصاريح المتعلقة بالسفن.

• إعداد الخطابات والمستندات بالعربية حسب المتطلبات الخاصة.

• التنسيق مع الجهات الحكومية وغرفة التجارة للحصول على الموافقات والختمات.

• زيارة السفن حسب الحاجة لضمان الالتزام بمعايير التشغيل ومتطلبات العملاء، والتحقق من تلبية احتياجات السفينة والبضائع.

• نقل متطلبات الشحن إلى المدير والأطراف المعنية.

• ترتيب إجراءات التوقيع/الخروج، وتصاريح الدخول والخروج لطاقم السفن والضيوف حسب التعليمات.

• استخدام نظام التشغيل WASP كأداة تقارير وفقًا لإجراءات التشغيل القياسية.

• إعداد تقارير مفصلة عن وصول ومغادرة السفن، عمليات الشحن، وبيانات الوقائع.

• التأكد من حصر هواتف المحمول المستأجرة للسفن وتوقيع القادة عليها.

• تبادل المستندات المطلوبة مع قادة السفن عند الوصول والمغادرة.

• معالجة شهادات مغادرة السفن ونماذج معالجة البضائع قبل الوصول وبعد المغادرة.

• الالتزام بمعايير معدات الحماية الشخصية أثناء العمل في الموانئ وعلى متن السفن.

• الحفاظ على معايير الجودة والصحة والسلامة والأمن والبيئة ضمن نطاق المسؤوليات.

• ضمان النقل الآمن والفعال لطاقم وكالة السفن والأشخاص المرتبطين بأنشطة الشركة حسب الحاجة.

• الإبلاغ عن الفرص التجارية والتحديثات الخاصة بالموانئ للمدير.

• دعم قسم العمليات في عمليات السفن، تنسيق الخدمات، والتواصل مع العملاء عبر البريد الإلكتروني.

المؤهلات

• مواطن بحريني، ويفضل أن يكون عمره بين 25-35 سنة.

• حاصل على رخصة تخليص جمركي سارية.

• خريج دراسات بحرية ولوجستية أو ما يعادلها.

• خبرة 1-2 سنة في وكالات السفن أو القطاع البحري ميزة إضافية.

• موجه لخدمة العملاء ويتمتع بمهارات تواصل جيدة.

• إجادة اللغة الإنجليزية تحدثًا وكتابةً بشكل جيد جدًا.

• مهارات تواصل بين شخصية جيدة.

• نشط ومنظم وقادر على العمل تحت الضغط.

• دقيق وملتزم بالتفاصيل.

• رخصة قيادة سارية.
