Responsibilities
Liaise with Shipping Agents/ Port Authorities/ Clearing and Forwarding Contractors to arrange method of discharge for hazardous / fragile/perishable/ general cargo to ensure that the correct mode of transport is selected and that the appropriate authorities are aware and advised of the item/s for
discharge.
Inspect damaged/deteriorated cargoes, determine necessary action, arrange Lloyds' surveys; raise claim documentation and follow up to ensure that the imperfect cargoes are dealt with in a timely manner and appropriate documentation is generated and followed to conclusion.
Contact outside Agencies such as the Chamber of Commerce, Ministry of the Interior, Port and Customs Authorities, Shipping and Airline Agencies to arrange special documentation and collection of urgently required cargo; and negotiate claim settlements with Shipping Agencies to ensure that the urgent items are not left idle due to bureaucracy. Handle/negotiate claims and settlements for and on behalf of the Company.
Compose a variety of letters, reports to affiliates/organisations worldwide, concerning material shipments, insurance and claims to ensure that all interested parties are fully informed on the relevant
status.
Contact Shipping Agents for space for export cargo, discuss loading arrangements, special stowage, authorise trans-shipment rate to be applied. Negotiate/charter local craft for urgent shipments to and from Gulf locations/areas to ensure Company’s shipping requirements meet all criteria.
Respond to callouts outside during working hours to arrange/clear or ship materials which require urgent despatch or receipt to minimise waiting time for users of material and equipment.
Generate VAT and Insurance report and forward to the Finance Department on monthly basis.
Follow up with the Finance Department to run reports for paid and unpaid invoices.
Investigate and minimise the occurrence of demurrage payments.
