 Head – Procurement & Administration




JOB RESPONSIBILITIES


Strategic:

• Plan and coordinate procurement and administrative procedures and systems

and devise ways to streamline processes across the Group.

• Implement office policies by establishing standards and procedures, measuring

results against standards and best practices, and making necessary

adjustments within the Group.


Finance:

• Ensure compliance with the annual administrative budget for the various

units/divisions within the Group, and annual operational work plan.

• Support Finance in their payment process by preparing/ providing necessary

supporting documentation for supplies (including LPOs) and approvals.

• Monitor costs and expenses for procurement and admin related work and

prepare annual budget for procurement and administration / assist Head, DSS

in budget preparation.

• Initiative cost optimization measures across the procurement function within

the Group.


Operations:

• Ensure that all procurements across the Group are done across the Group in

line with established policies and coordinating with relevant departments as well

as preparing necessary documents to facilitate procurements (including local

purchase orders).

• Liaises with Legal /Compliance teams within the Group to ensure

legal/regulatory compliance in day-to-day management of facilities, reducing

legal risks, and ensuring regulatory compliance.

• Partners with other teams within the Group as needed/required for internal and

project level activities.

• Monitor inventory of office supplies within the Group and the purchasing of new

materials with attention to budgetary constraints.

• Carry out administrative tasks for one or more units within the Group as

required by the management.


Stakeholders:

• Assist with development of Procurement and Administration policies and

procedures as well as ensure that employees follow them for day-to-day

activities across the Group.

• Produce necessary MIS on procurement and administration related activities

across the Group to the stakeholders as and when requested.
