The Role
The Team PA / Administrator will manage and coordinate all administrative tasks for the Professional Services team, based from the Bahrain office, in addition to providing personal assistance to the team Head. The role will also support the front of house service and general office support and ad hoc tasks.
Key Responsibilities
To assist teams with proposals, terms of engagement and RFP’s – collating documents, compiling general sections, formatting documents
Adhoc requests that may be required to create files / presentations / proposals
Formatting, proofreading and re-editing of valuation reports
To raise invoices and issue to recipients in a timely manner
Update various trackers and databases, which involves speaking with agents, other teams & external sources
Printing and binding of the Valuation reports for independent clients as per guidelines issued
Update proposal tracker and workflow system
Follow up with Clients on quotations sent and assist in collection of pending payments
Invoicing the client / project on every milestone – based on directions from the client management team
To handle all incoming enquiries; emails and telephone correspondences
Book appointments, schedule meetings & support meeting deadlines when necessary
Participating with external networking & marketing Client & Supplier events
Organising client and staff entertainment for the Department
Support business development initiatives & driving forward contact with internal/external clients
To arrange any team travel bookings and general diary management support
Undertake any department file organisation, as required
Minute taking in meetings and follow up on actions.
